On-site presentation guidelines

Symposium Guidelines

Set-up Onsite:

A laptop will be provided for your symposium. It is mandatory that all speakers upload their presentation to this laptop in advance of their talk, as this creates a smoother transition from speaker to speaker and wastes less time in-between talks. To ensure that there aren’t any unforeseen formatting issues, speakers are required to report to their designated breakout at the following times to set up with our AV technician. You are welcome to upload and test your presentation at any time the day before your session if/when your meeting room is free:

Q&A Sessions:

As ISPGR 2023 is a hybrid Congress with both live and virtual (pre-recorded) talks, all Q&As will take place at the end of each session, in a panel style format, to enable any virtual presenters to participate in the Q&A.

In addition to the session Chair, a technical Chair will be allocated to each session to facilitate the virtual aspect of the Q&A.

Poster Guidelines

Poster session times:

P1: Monday 10th July – 10:00 – 12:30
P2: Tuesday 11th July – 10:00 – 12:30
P3: Thursday 13th July – 10:00 – 12:30

Display Guidelines:

  • The size for posters is A0 (1189 x 841mm) in landscape orientation
    • see below for list of local printing services
  • Please include your poster number on the top left corner of your poster
  • Pins/velcro buttons will be provided for you to affix your poster to the board
  • Keep text to a minimum
  • Ensure text is in large font
  • Use graphs, charts, &/or tables
  • Ensure contents have a logical flow
  • Make it colourful

In addition to the on-site poster, poster presenters must upload the following items to their virtual poster stand. This virtual poster will be available to view on the ISPGR virtual platform and Congress App:

  • PDF version of the poster
  • Abstract text
  • Author listing
  • 3-minute video summary of the research

An upload link will be sent to all poster presenters 6 weeks prior to the start date of the Congress.

Please note: Removal & collection of posters at the end of the display period is the responsibility of the presenter. Posters not removed by the indicated take down time will be removed and disposed of by staff.

Oral Session Guidelines

Presentation Time: 15 minutes (includes introduction by chair and equipment setup)

  • 10-12 minutes for presentation
  • 3-5 minutes for discussion

The meeting room will be equipped with:

  • projector and screen (slides should be 16:9 ratio)
  • lectern microphone
  • laser pointer

Q&A Sessions:

Oral presentation upload times

You are welcome to upload and test your presentation at any time the day before your session. If you plan on uploading your presentation on the day of your session, you will be required to do so at the following times:

Oral sessions O.1. & O.2. (Monday  July 10: 09:00 – 10:30)
Upload time in your allocated meeting room on Monday 1th July is between 08:00 & 09:00

Oral sessions O.3. & O.4. (Tuesday July 11: 14:00 – 15:30)
Upload time in your allocated meeting room on Tuesday 11th July is between 13:00 & 14:00

Oral sessions O.5. & O.6. (Wednesday July 12: 13:30 – 15:00)

Virtual presentation guidelines

Symposium Guidelines

Virtual symposium presenters must provide the following:

  • A pre-recorded Mp4 video of their talk no later than Thursday 22nd June (upload instructions will be provided shortly)
    • Please note: the confirmed length of the talk should be determined by the symposium organiser, please discuss this with the organiser/chair directly before recording and uploading
    • The presentation must include a visual of the presentation slides
  • Full participation in a live Q&A via Zoom at the end of the symposium session

Q&A Sessions:

It is mandatory that all symposium presenters, including virtual speakers, attend the live Q&A at the end of their session.

As ISPGR 2023 is a hybrid Congress with both live and virtual (pre-recorded) talks, all Q&As will take place at the end of each session, in a panel style format, to enable any virtual presenters to participate in the Q&A.

In addition to the session Chair, a technical Chair will be allocated to each session to facilitate the virtual aspect of the Q&A.

Poster Guidelines

Virtual posters will be available to view on the ISPGR virtual platform and Congress App at any time during the event and not restricted to specific hours. This avoids conflicts with time zones and allows more flexibility for virtual attendees.

Delegates will be able to direct message virtual poster presenters, as well as email with any questions they may have.

Virtual poster presenters must upload the following items to their virtual poster stand:

  • PDF version of the poster
  • Abstract text
  • Author listing
  • 3-minute video summary of the research, which includes a visual of the poster (either as presentation slides or as a pdf)

An upload link will be sent to all poster presenters 6 weeks prior to the start date of the Congress.

Oral Session Guidelines

Virtual oral presenters must provide the following:

  • A pre-recorded Mp4 video of their talk no later than Thursday 22nd June (upload instructions will be provided shortly)
    • Please note: the length of the talk should be no longer than 12 minutes maximum
    • The presentation must include a visual of the presentation slides
  • If possible, the virtual oral presenter will join a live Q&A via Zoom at the end of their designated oral session

Social Media Policy

The use of social media on conferences is on the rise, and this may create some opportunities, but may also be considered by some as a threat. We propose to emphasize the opportunities; increased exposure, openness, and inclusiveness, while also providing opportunity to those that see social media exposure as a threat with some ways to prevent unwanted exposure.

ISPGR encourages communication between members and the use of social media. Please note the following guidelines:

  • Members are encouraged to explicitly indicate their wishes
  • ISPGR provides icons for permission and prohibition of photo recording, video recording and sharing in social media. These icons are available online (please click on the icons to the right to download) and as stickers onsite at the conference
  • Respect presenters’ wishes if they indicate the information presented is not to be captured or shared
  • If there’s no explicit indication of intention, please ask presenters their wishes and take into consideration the possibility that presenters do not want their presentation to be recorded or shared
